Privacy Policy — Verbtext

This Privacy Policy is maintained by FJSI Resourcing (OPC) Private Limited ("Verbtext", "we", "us") to explain how we collect, use, share, and protect personal information when you use the Verbtext website, mobile interfaces, and related services (collectively, the "Platform").

Assessments, consent and your choices

What we collect before an assessment: your full name, mobile number and email address, so we can identify you and manage your assessment and job application records.
Who sees your results: your responses, transcripts, measured audio evidence and scores can be reviewed by authorised Verbtext staff and the employer recruiter who issued your invitation. Downloaded dossiers must be shared only with authorised hiring reviewers.
How results are used: to support the inviting employer's recruitment decisions. Automated scores require human interpretation; incomplete evaluation is flagged for review rather than presented as a final language judgement.
Consent records: we record when you gave consent, the notice version you agreed to and which assessment you started.
Assessment communications: invited candidates accept assessment terms and privacy only; there is no job-updates opt-in. Invitation, status and interview messages relate to your assessment or hiring process.
Retention: assessment and application records are kept for up to 24 months after your last activity, then deleted or anonymised, unless a longer period is required by law.
Your rights: contact Verbtext to request access to, correction of, or deletion of your personal information. Privacy requests are answered within 30 days. Some records may need to be retained where the law requires it.
Verified mode: camera snapshots are taken only in verified assessments and are stored privately. Browser focus and fullscreen events are imperfect review signals, not guarantees against external assistance.
Pilot feedback: we store recruiter ratings and comments after six saved pilot tests to review the service; feedback does not automatically grant additional assessments.

1. Information we collect

Recruiter account details: name, work email, phone number, company name and logo, and a hashed password, set up by our team when your organisation is onboarded.
Candidate details: name, email and optional phone number provided by the inviting recruiter, plus the consent you give before starting an assessment.
Assessment data: voice recordings, transcripts, chat and email responses, typing results, scores, and — in verified mode only — periodic camera snapshots for integrity review.
Hiring workflow data: candidate status, interview rounds and feedback recorded by the recruiter in their workspace.
Communications: messages you send us through contact forms, WhatsApp, or email.
Device & usage: IP address, browser, device type, and pages visited, collected via standard logs and privacy-friendly analytics.

2. How we use your information

Deliver the assessments a recruiter assigns and produce reports and dossiers for that recruiter.
Operate the recruiter workspace, including candidate status and interview-round emails.
Send transactional notifications such as invitations, status updates and sign-in codes.
Prevent fraud, misuse, and violations of our terms.

3. Sharing of information

Assessment results and reports are shared only with the recruiter who invited the candidate and authorised Verbtext staff. We use trusted service providers for hosting, database, authentication, email delivery, and AI features; they process data on our behalf under confidentiality obligations. We do not sell your personal information.

4. Data retention

Assessment records are kept for up to 24 months after last activity, then deleted or anonymised. You may request deletion at any time by writing to us — see contact details below. Some records may be retained for a limited period to comply with legal, tax, or fraud-prevention obligations.

5. Your choices & rights

Request access to, correction of, or deletion of your data by writing to us.
Opt out of non-essential email or WhatsApp notifications.
Request a copy of the personal information we hold about you.
Withdraw consent to processing where applicable.

6. Security

We use industry-standard measures including encrypted transport (HTTPS), hashed passwords, row-level database security, and least-privilege access controls. No system is 100% secure; please choose a strong password and keep it confidential.

7. Cookies

We use essential cookies to keep you signed in and remember preferences. We may use limited analytics cookies to understand aggregate usage; you can control cookies through your browser.

8. Children

The Platform is not intended for users under 18. We do not knowingly collect data from minors.

9. Changes to this policy

We may update this policy from time to time. Material changes will be notified through the Platform or by email. Continued use after updates constitutes acceptance.
